Modern hospitality venues rely heavily on IT, often without realising just how critical it has become. Payment terminals, point-of-sale (POS) systems, booking platforms, WiFi networks and digital ordering systems are all part of the daily running of a venue. When everything works, customers barely notice the technology.

But when something fails, the experience
can deteriorate very quickly!

Imagine a busy Friday evening service. The restaurant is full, the kitchen is running at capacity, and customers are enjoying their meals. Suddenly, the POS system stops responding, or the card machines lose connection to the internet. Staff are forced to scramble for solutions while customers wait longer than expected to pay their bills. Even if the team handle the situation professionally, frustration builds.

Unfortunately, many customers no longer complain directly. Instead, they go home and leave a review online.

A single comment such as “Great food, but waited twenty minutes to pay because their card machine was broken” can quickly influence potential customers. If several guests experience the same issue on the same evening, the damage can escalate. A stream of one-star reviews mentioning slow payments, failed bookings or unreliable WiFi can make a venue appear poorly managed, even if the underlying issue was purely technical.

WiFi problems are another common
trigger for negative reviews!

Guests often expect to connect easily, especially in hotels, cafés and pubs where people may be working remotely or sharing experiences on social media. If the network is slow, unreliable or difficult to access, it can quickly become part of the customer's overall impression of the venue.

Booking systems can also create reputational problems if they fail or become misconfigured. Double bookings, missing reservations or online systems that go offline during busy periods can leave guests arriving for tables that appear not to exist.

From the customer's perspective, it feels like poor organisation. In reality, it may simply be a technical issue that has gone unnoticed.

Systems need to be stable, secure and properly maintained so that technology supports the customer experience rather than disrupting it.
